Privacy Policy
Effective Date: 15 January 2025
At sarothexar, we believe that understanding financial statements shouldn't come at the cost of your personal privacy. This policy explains how we collect, handle, and protect your information when you use our financial analysis education services.
We've designed our approach to comply with the Australian Privacy Principles under the Privacy Act 1988 (Cth), but more importantly, we want you to feel confident about how your data is managed. This isn't just about legal obligations—it's about building trust with people who are serious about learning financial analysis.
What Information We Collect
When you interact with sarothexar, we collect different types of information depending on how you use our services. We're transparent about this because you deserve to know exactly what we're working with.
Information You Provide Directly
- Contact details when you enquire about programs or register for webinars—your name, email address, phone number, and sometimes your professional background
- Account credentials if you access our learning platform, including username and password details
- Payment information when you enrol in courses, though we don't store full credit card numbers on our servers
- Professional information you share during program applications—things like your current role, educational background, and specific learning goals
- Assignment submissions, forum posts, and other educational content you create while using our platform
Information Collected Automatically
Like most educational platforms, we gather certain technical information to keep things running smoothly and improve your experience:
- Device and browser details—the type of device you're using, operating system, browser type, and screen resolution
- Usage patterns on our website, including which pages you visit, how long you spend on different sections, and which resources you access most frequently
- IP addresses and general location data (city and country level, not your exact address)
- Referral sources that show us how you found our website initially
How We Use Your Information
We're pretty straightforward about this. Your information helps us deliver better educational experiences and keep our services running properly. Here's what that actually looks like in practice:
| Purpose | What This Means for You |
|---|---|
| Course Delivery | Managing your enrolment, tracking your progress through modules, and providing certificates when you complete programs |
| Communication | Sending program updates, responding to your questions, and sharing relevant educational resources |
| Platform Improvement | Analysing how people use our learning materials to identify areas where we can make content clearer or more helpful |
| Administrative Tasks | Processing payments, maintaining accurate records, and handling any issues that arise with your account |
| Marketing | Informing you about upcoming programs, webinars, or resources that match your interests (you can opt out anytime) |
A Note About Marketing: We only send promotional materials to people who've shown interest in our programs or specifically asked to hear from us. Every email includes an unsubscribe option, and we respect those choices immediately. If you're currently enrolled in a program, you'll still receive essential course communications even if you opt out of marketing.
Data Storage and Security
Your information is primarily stored on secure servers located in Australia, though some services we use may store data in other countries with strong privacy protections. We've implemented several security measures to protect your data:
- Encryption for data transmission using industry-standard TLS protocols
- Secure authentication systems with encrypted password storage
- Regular security audits and vulnerability assessments of our systems
- Restricted access to personal information—only authorised team members can view sensitive data, and only when necessary
- Regular backups stored securely to prevent data loss
That said, no online system is completely immune to security risks. We take reasonable precautions, but you should also use strong passwords and avoid sharing your account credentials with others.
Sharing Your Information
We don't sell your personal information to third parties. Period. But we do work with certain service providers who help us deliver our educational programs. Here's who might access your data and why:
Essential Service Providers
- Payment processors who handle credit card transactions securely
- Email service providers who help us send course updates and communications
- Cloud hosting companies that store course materials and platform data
- Video hosting services for webinar recordings and instructional content
- Analytics tools that help us understand how people use our platform
These providers are contractually bound to protect your information and can only use it for the specific purposes we've authorised. We choose partners carefully and regularly review their security practices.
Legal Requirements
Sometimes we're legally required to disclose information—for example, if we receive a valid court order or need to comply with Australian taxation laws. We'll only share what's legally required in these situations.
Your Rights and Choices
Under Australian privacy law, you have several rights regarding your personal information. We're set up to handle these requests efficiently:
Access Your Information
You can request a copy of the personal information we hold about you. We'll provide this within 30 days, usually much sooner. There's no charge for reasonable requests, though we might ask you to verify your identity first.
Correct Inaccurate Data
If you notice errors in your information, let us know and we'll update it promptly. You can often make these changes yourself through your account settings on our learning platform.
Request Deletion
You can ask us to delete your personal information, subject to some limitations. We need to keep certain records for legal or administrative purposes—like financial transactions or completed certifications—but we'll remove what we can.
Important: If you're currently enrolled in an active program, deleting your account will affect your access to course materials and your ability to complete the program. We recommend waiting until after you've finished before requesting deletion, but the choice is yours.
Opt Out of Communications
Every marketing email includes an unsubscribe link. Click it once and you're off that list. Simple. You'll still receive essential communications about courses you're enrolled in, but no promotional content.
Restrict Processing
In certain circumstances, you can ask us to limit how we use your information. For example, if you're contesting the accuracy of data, we'll restrict its use while we verify the details.
Data Retention
We don't keep information longer than necessary. Here's our general approach to retention:
- Active account data remains accessible while you're using our services
- Course completion records and certificates are retained for seven years to support verification requests
- Financial records are kept for seven years to comply with Australian taxation requirements
- Marketing contact lists are reviewed annually, and inactive contacts are removed after three years of non-engagement
- Website analytics data is typically retained for two years before being anonymised or deleted
If you close your account, we'll delete or anonymise your personal information within 90 days, except for records we're legally required to maintain.
Cookies and Tracking
Our website uses cookies and similar technologies. Most are essential for basic functionality, but some help us improve your experience or understand how people use our site.
Essential Cookies
These keep the site working properly—maintaining your login session, remembering your preferences, and ensuring security. You can't disable these without breaking core functionality.
Analytics Cookies
We use analytics to understand which content is most helpful and where people get stuck. This data is aggregated and doesn't identify you personally. You can disable these through your browser settings if you prefer.
Managing Cookies
Most browsers let you control cookies through their settings. Keep in mind that blocking all cookies might affect your ability to use certain features on our learning platform.
International Data Transfers
While we primarily operate in Australia, some of our service providers are based overseas—particularly in the United States and the European Union. When we transfer data internationally, we ensure appropriate safeguards are in place:
- Using providers that participate in recognised privacy frameworks or have received adequacy determinations
- Implementing standard contractual clauses approved by privacy regulators
- Ensuring encryption during transfer and while stored overseas
- Regular reviews of overseas providers' security practices and compliance
Children's Privacy
Our programs are designed for adults in professional roles. We don't knowingly collect information from anyone under 18 years old. If you're under 18 and interested in financial statement analysis, we recommend checking out our resources with a parent or guardian first.
If we discover we've inadvertently collected information from someone under 18, we'll delete it as soon as we become aware of the situation.
Changes to This Policy
We review and update this privacy policy periodically to reflect changes in our practices or legal requirements. When we make significant changes, we'll notify you via email if you have an active account with us.
The "Effective Date" at the top of this page shows when the current version took effect. We recommend checking back occasionally to stay informed about how we're protecting your information.
Making a Complaint
If you believe we've mishandled your personal information or violated your privacy rights, please contact us first. We take complaints seriously and will investigate thoroughly. You should receive an initial response within five business days and a full response within 30 days.
If you're not satisfied with our response, you have the right to lodge a complaint with the Office of the Australian Information Commissioner (OAIC). You can reach them at 1300 363 992 or through their website at oaic.gov.au.
